Who we are

English Online Forum ("we", "us", "our") is an independent, 100% online English school. This policy explains what information we collect when you use this website, our free placement test or our student portal, or when you contact us, and how we use it.

What we collect

• Contact details you give us — your name and a phone number, WhatsApp number or email address, when you fill in the placement test form or the contact form, or message us directly.
• Placement test answers and results — the CEFR level and section scores produced when you take a placement or demo test, so we can recommend the right class.
• Student records (enrolled students only) — when you join a course, we keep a student record with your name, student number, email address, phone number, date of birth, city and country, occupation or school and grade, course, level, teacher, lesson days, date of registration, attendance, and the results of tests and exams you take with us. For students under 18, we also keep a parent's or guardian's name and phone number.
• Materials access codes — if you are an enrolled student, the access code you use to view your level's learning materials.

We do not ask for payment card details or government ID through this website. Student portal passwords are handled by Google's secure sign-in service (Firebase Authentication); we never see or store your password.

How we use it

• To recommend and place you in the right class or level.
• To run your lessons: keeping your timetable, marking attendance, recording test and exam results, and tracking your level progress.
• To contact you, or your parent or guardian if you are under 18, about lessons, by WhatsApp, phone or email.
• To reply to your inquiry, by WhatsApp, phone or email — whichever you shared with us.
• To keep our course materials access limited to enrolled students.

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

Student portal

Enrolled students can log in to the student portal to see their own record: student number, course and level, lesson days, attendance, test and exam results, teacher's comments and level progress. Each student can see only their own record. A teacher can see the records of her own students (name, course, level, lesson days, attendance and results) so she can teach and mark them. Phone numbers are visible only to the student and to English Online Forum's administrators.

Student records are stored in Google Firebase (Cloud Firestore) in Google's European data centres, protected by encrypted connections and access rules that limit each record to the student it belongs to and our administrators. When you download your student card as a PDF, it is created on your own device and is not sent anywhere.

Placement test results

When you finish a placement or demo test, your result is shown to you on-screen. If you are not logged in to the student portal, it is only sent to our team if you choose to tap "Send my result to English Online Forum," which opens WhatsApp with your result pre-filled for you to send, and we do not store your answers on our servers. If you are logged in to the student portal on the same device, your score, level and section scores are also saved to your student record so you and your teacher can follow your progress. Your individual answers are not saved.

Children and parents

Many of our students are under 18. We collect only the information needed to teach them, and we keep a parent's or guardian's contact details so we can stay in touch about lessons. Parents and guardians can ask us at any time to see, correct or delete their child's information.

Cookies and third-party services

This site loads fonts from Google Fonts and icon assets from a content delivery network, which may receive your browser's IP address as part of loading those files, in line with their own privacy policies. The student portal uses Google Firebase to sign you in and keep you logged in on your device. We use Cloudflare Web Analytics, which does not use cookies, to count visits and see general information such as which countries our visitors come from and which pages they read. If you accept cookies in the banner, we also use Google Analytics, which sets cookies to measure visits, time on the site and general location (country and city). Google Analytics does not run if you decline, and you can change your cookie choice at any time. We do not use advertising cookies.

How long we keep information

We keep contact details and enrollment information for as long as you are an active or prospective student, or as needed to respond to your inquiry. After you finish your studies, we keep your student record (including your results and attendance) so we can confirm your studies with us or welcome you back. We delete it whenever you ask us to.

Your choices

You can ask us at any time to tell you what information we hold about you, correct it, or delete it, by contacting us using the details below. Students can see most of their record at any time by logging in to the student portal.
